This position is currently fully remote. Depending on future funding, there may be requirements in the future to attend onsite board meetings approximately 4-6 times a year.

In this role, you will handle tasks such as managing license renewals, coordinating board meetings, tracking finances, supporting IT systems, and ensuring compliance with administrative rules. This position offers a great opportunity to be at the heart of regulatory oversight and process improvements while working with a dedicated team.

As an Operations Specialist, you will:
  • Oversee licensing renewals and compliance audits to ensure regulations are met
  • Manage financial processes, including tracking revenue, handling collections, and preparing reports
  • Serve as the agency’s IT liaison, helping implement and maintain technology solutions
  • Organize board meetings, including scheduling, preparing agendas, communicating with the public, and keeping records
  • Maintain and update the OBCE website to ensure accurate and timely information is available
  • Support rulemaking, compliance monitoring, and policy updates to align with regulatory changes

What We Are Looking For

Minimum Qualifications:
Three years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis;
OR
An associate degree in general office occupations and two years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis;
OR
An equivalent combination of education and experience.

Desired Attributes:
  • Strong analytical and problem-solving skills with great attention to detail
  • Experience with financial tracking, regulatory compliance, and/or licensing programs
  • Comfortable using IT systems (e.g. MS365, HRIS systems, databases), and managing websites to improve efficiency. Comfortable w/helping employees and the public navigate or troubleshoot systems.
  • Excellent communication (written and oral) and organizational skills to handle multiple tasks effectively. Ability to communicate effectively and professionally with various audiences.
  • Ability to work independently while collaborating with government agencies, board members, and licensed professionals.
  • Preference may be given to candidates with experience in licensing databases, especially InLumon.
