Our Virtual Operations Coordinator requires excellent data entry skills, the ability to prioritize multiple tasks, and experience in facilitating onboarding and travel arrangements. While experience in medical provider onboarding and credentialing is desired, it is not required. The Operations Coordinator will be the main point of contact for providers, handling a variety of responsibilities to ensure smooth operations and effective communication.

Key Responsibilities:

  • Provider Onboarding and Credentialing : Facilitate the onboarding and credentialing process for new providers. Follow up on outstanding credentialing items and missing information to ensure completion and accuracy.
  • Training and Scheduling : Coordinate training sessions and manage provider schedules to ensure all operational needs are met.
  • Travel Arrangements : Confirm travel for providers, update required tracking documents, and send finalized itineraries in PDF format.
  • Invoice Submittals : Manage and submit invoices accurately and on time.
  • Main Point of Contact (POC) : Serve as the primary contact for providers, addressing their needs and concerns promptly.
  • Data Management : Update the main provider tracker with missing/additional details and maintain accurate records in the Tracking system.
  • Recruitment Collaboration : Work closely with recruiters to advance candidates through the screening and onboarding processes.
  • Check-ins with Travelers : Conduct regular check-ins with traveling providers using provided templates, ensuring timely communication 1 week prior, 1 day prior, upon arrival, and on the day of departure.
  • Monthly Availability Requests : Request and manage provider availability for the upcoming month.

Qualifications:

  • Attention to Detail : Demonstrated ability to handle data entry with a high degree of accuracy.
  • Organizational Skills : Strong ability to prioritize multiple tasks and manage time effectively in a remote environment.
  • Communication Skills : Excellent written and verbal communication skills, with the ability to serve as a main point of contact for providers.
  • Technical Proficiency : Familiarity with virtual communication tools and software for data management and coordination.
  • Experience : Medical provider onboarding and credentialing experience is desired but not required.

Preferred Experience:

  • Experience in a healthcare or medical provider environment.
  • Familiarity with credentialing processes and requirements.
  • Previous experience in a remote work setting.
  • Located in the Maryland area - preferred.
