The Law Enforcement Technician II position in Records is an experienced Records Technician. They will be required to handle requests by telephone and in person; perform basic and specialized data entry work, maintain basic and specialized automated office and filing systems. The position requires independent problem solving and self-motivation. Previous experience working in law enforcement records knowledge required. The hours of operation for the Records Section are 7:00 am to 5:00 pm, Monday through Friday. Currently the schedule will be four ten-hour shifts per week. Depending on the needs of the department shifts can be changed.

Examples of Duties

  • Provides specific information on the responsibilities of the Records Section, divisional functions of the Sheriff's Office and responsibilities of the County Criminal and Civil Justice Systems.
  • Provides specific information concerning the various functions of municipal, county, state and federal agencies that provide services to the general public. In addition, must have knowledge of the numerous agencies and jurisdictions encompassed in Boulder County.
  • Responsible for handling the majority of the general telephone reception duties for the Sheriff's Office. This includes but is not limited to; determining the proper routing of calls, message taking, providing directions, and paging individuals as needed.
  • Responsible for handling the initial general reception of the individuals arriving at the Sheriff's Office Records Section. This includes but is not limited to; providing information, directions, confirmation of appointments, and performance of various Records responsibilities.
  • Required to use various standard and specialized law enforcement computer systems and software applications. The following computer systems are utilized: personal computers, modem-based computers, digital retrieval, and local area networks. Some specific duties include usage of advanced word processing capabilities, sophisticated and detailed data entry and retrieval, computer data base management, dot matrix/laser printer applications and laser disk data-based photo retrieval system.
  • Responsible for using and maintaining various automated office equipment such as facsimile machines, electronic typewriters, microfilm and microfiche copier/printer, date/time stamp clock, electronic cash register, as well as those listed in #5.
  • Responsible for some transcription and entering of case reports into the Atlas-RMS system.
  • Required to maintain multiple chronological and alpha-numeric filing systems involving various forms of sensitive law enforcement documentation.
  • Required to perform and apply the procedures of the Records Section and the various corresponding procedures of the other Sections and Divisions of the Sheriff's Office, pertaining to records control and management.
  • Required to apply and administer specific statutory dissemination requirements, in accordance with state law and departmental policies and procedures. Must be able to adapt to varying everyday situations with the public and other governmental agencies.
  • Required to perform limited Civil related duties/procedures in order to complete special after-hours critical processing of documents from the court that may require immediate service. Support is also required during times when Civil personnel are not on duty.
  • Required to perform the technique of fingerprinting and apply the necessary quality controls needed for prints to be acceptable at the state and federal level. LET's are required to take prints primarily of the public for licensing purposes and on occasion may be required to fingerprint for criminal justice purposes.
  • Required to maintain proficiency on the Colorado Crime Information Computer. Colorado Bureau of Investigation requires recertification every two years as an operator on the State computer system.
  • Compiles and tabulates statistical data.
  • Opens, sorts, logs, stamps, and distributes mail.
  • Composes and prepares routine correspondence, relating to the Records Section's responsibilities.
  • Performs other duties as assigned, especially in times of emergencies such as: floods, forest fires and expanded criminal activity.
  • Processes payments utilizing electronic cash register and online credit card system.

Required Qualifications

  • Must have at least one year of Records experience working for a law enforcement agency.
  • Must be at least 18 years of age or older.
  • High School diploma or equivalent.
  • Typing speed of 45 words per minute minimum.
  • Ability to work independently, with minimal supervision.
  • Ability to maintain a professional appearance and demeanor.
  • Ability to perform varied clerical tasks, under pressure of time and heavy workloads.
  • Must have the ability to properly use the English language: reading, writing, speaking and spelling.
  • Must be able to deal with information that is of confidential and/or unpleasant nature.
  • Must be able to learn and retain knowledge of varied and complex policies and procedures.
  • May be required to work special hours on short notice.
  • Must have the ability to establish and maintain effective working relationships with co-workers, supervisors, other agencies, and the public.
  • Ability to work alone or independently during each shift.
  • Ability to follow written and/or verbal instructions.
  • The ability to make independent decisions and apply common sense in day-to-day work applications.
  • Must meet the Sheriff’s Office's application standards and a corresponding background investigation.
  • Must meet the Sheriff’s Office's standards on polygraph and drug screening examinations as required.
  • Must be able to use basic applicable workplace mathematics, in relationship to statistical reports and control of money.

PROBATION/EVALUATION PERIODS

  • Probationary period is one year from the date of employment.
  • Each LET II is provided with a written performance evaluation by the LET Supervisor in the Records Section. They will also receive Daily/Weekly training and feedback from other LET II’s.

Functional Requirements

  • Vision - Dual vision is not required. Single eye correctable vision is acceptable. Minimum peripheral vision for single vision is 900 on the ear side and 700 on the nose side. Frequently uses vision to read computer monitors, applications, reports, and files, and to observe multiple persons and activity.
  • Hearing - Dual hearing is not required. When tested by use of an audiometric device, does not have an average hearing loss in the better ear greater than 40 decibels at 500 Hz, 1000 Hz, and 2000 Hz with or without a hearing aid when the audiometric device is calibrated to American National Standard. Constantly must be able to hear telephone conversations, conversations with applicants, professionals, and employees. Occasionally must be able to hear alarms.
  • Speech - must have the ability to fluently speak and understand the English language. Constantly uses voice to communicate with other employees, professionals, and the public in person and by telephone. Clear diction and audible volume are required.
  • Body Movement -
  • Arms and Hands - Constantly types on a keyboard and writes using writing tools such as pens, pencils, and markers. Frequently must have the use of at least one arm with the ability for extension above the head to reach for overhead files and supplies.
  • Use of Legs and Lower Body - Must have the ability to move around the work area unassisted. Occasionally must be able respond to persons at the front counter.
  • Lifting - Occasionally must have the ability to move and lift storage boxes full of paper in the basement.
  • Flexibility - Frequently must have the ability and range of flexibility to reach overhead, reach below knees, kneel, stand for long periods and work sitting for long periods.
